This Privacy Policy describes how Rentlio collects, uses, protects, and handles personal data and platform records when you use our rental property platform.

1. Introduction

Rentlio ("Rentlio", "we", "us", or "our") operates an online rental property platform connecting Home Seekers and Property Owners. We are committed to safeguarding the privacy of our users and ensuring transparency in how personal data and tenancy records are collected, stored, and processed.

This Privacy Policy explains what personal information we collect, how that information enables Rentlio to function as the central platform and source of truth for rental records, and the rights you have regarding your data.

2. Information We Collect

We collect information necessary to facilitate rental discovery, request processing, owner property management, and record-keeping. The categories of information collected include:

A. Account & Identity Information

  • Basic Profile: Name, email address, phone number, profile photo, and password hash (for password-based accounts).
  • Account Role: Selected user role (Home Seeker, Property Owner, or Administrator).

B. Property Information (For Property Owners)

  • Listing Details: Property address, street, landmark, area, city, postal code, and geographic coordinates (latitude and longitude).
  • Specifications: Home type (e.g., 1BHK, 2BHK, 3BHK, PG room, Studio, Commercial), monthly rent, security deposit, availability date, and amenities.
  • Visual Media: Photographs and images uploaded to showcase the property.
  • Tenant Preferences & Rules: House rules, occupancy restrictions, preferred tenant categories (family, bachelors, students), and food habit preferences.

C. Home Seeker & Tenant Information

  • Profile Preferences: Search radius, target location, budget range, preferred property types, and lifestyle/dietary preferences.
  • Rental Applications: Information voluntarily provided when submitting a Rental Request to a Property Owner (such as occupancy timeline and contact information).

3. Google Sign-In & OAuth Authentication

Rentlio offers Google Sign-In as an optional, secure authentication method to facilitate seamless registration and login. When you choose to authenticate using Google:

  • Rentlio receives only the basic profile data authorized by you through Google Identity Services: your name, email address, profile image URL, and unique Google account identifier.
  • This information is used strictly to create, verify, and authenticate your Rentlio account, display your profile picture, and maintain your login session securely.
  • What Rentlio Does NOT Access: Rentlio does NOT request, access, read, or store your Gmail messages, Google Drive files, Google Contacts, Google Calendar, or any other unrelated Google data.
  • You can manage or revoke Rentlio's authentication access at any time through your Google Account Security settings.

4. Location Information & Radius Search

Rentlio is designed around location-aware rental discovery. We utilize location information strictly to power location-based search:

  • Permission-Based GPS: When you click "Use Current Location" or permit browser location access, Rentlio receives your device coordinates to calculate distance and display rental properties within your selected search radius (e.g., 5 km, 10 km).
  • Interactive Map Pinning: Property owners and seekers can manually place map pins or enter address keywords to adjust their search or property locations without enabling live GPS.
  • No Continuous Background Tracking: Rentlio only accesses your location when you actively perform a search or pin a property. We do not continuously track your device location in the background.

5. Rental Platform Records (Platform Source of Truth)

Rentlio maintains structured electronic records of rental activity conducted through the platform. These Platform Records include:

  • Property listings, specifications, and availability history;
  • Rental requests, submission timestamps, and owner acceptance or rejection decisions;
  • Tenancy status summaries, active tenant rosters, and listed rent amounts;
  • Metadata of rental agreement documents uploaded or acknowledged by the parties;
  • Timestamped activity logs recording status changes and profile updates.

Rentlio serves as the source of truth for records and activity maintained on the Rentlio platform. These records ensure that both tenants and property owners have a consistent, transparent history of their platform interactions.

6. How We Use Your Information

We process personal information for legitimate business and platform purposes, including:

  • Account Management: Creating, authenticating, and maintaining your Rentlio user account;
  • Rental Matching & Search: Enabling seekers to discover properties near their desired location and radius;
  • Request Processing: Transmitting rental inquiries and applications from seekers to property owners;
  • Tenancy Record-Keeping: Providing owners and tenants with accurate dashboards of active tenancies, requests, and listings;
  • Platform Integrity & Security: Detecting and preventing fraud, unauthorized access, fake listings, and abusive behavior;
  • Customer Support: Responding to inquiries, technical issues, and user feedback;
  • Legal Compliance: Meeting applicable regulatory, statutory, and tax compliance obligations.

7. Information Sharing Between Tenants and Owners

Because Rentlio is a collaborative rental platform, certain information is shared between Home Seekers and Property Owners to facilitate rental transactions:

  • When a Seeker Submits a Request: The Property Owner receives the seeker's name, profile details, match preferences, contact information, and application notes.
  • When an Owner Publishes a Listing: The property address, photos, rent amount, house rules, and owner contact details become accessible to seekers searching that area.

Rentlio shares only the information necessary to fulfill the rental workflow. Users agree not to misuse contact details obtained through Rentlio for spam, harassment, or unauthorized marketing.

8. Third-Party Service Providers

Rentlio engages trusted third-party service providers to perform specialized infrastructure and operational functions. These providers have access to personal data only to the extent necessary to perform their services:

  • Google Identity Services: For optional OAuth 2.0 authentication and secure sign-in;
  • Cloud & Database Infrastructure: Secure cloud servers (MongoDB Atlas / cloud hosting) for encrypted data storage and application hosting;
  • Geocoding & Mapping Services: OpenStreetMap (Nominatim) and BigDataCloud for reverse geocoding map coordinates into street and landmark names;
  • Email & Messaging Services: Transactional email providers for password resets and critical account notifications.

We do not sell, rent, or trade your personal information to third parties for advertising or commercial marketing purposes.

9. Data Security

Rentlio employs reasonable and appropriate technical and organizational security measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure. These measures include:

  • HTTPS / SSL encryption for all data transmitted between your browser and our servers;
  • Industry-standard cryptographic hashing (bcrypt) for user passwords;
  • Role-based access controls and authentication session tokens;
  • Regular server patching and database security configurations.

While we implement rigorous security controls, no internet-based platform or electronic transmission can guarantee 100% security. Users are encouraged to maintain strong passwords and safeguard their account credentials.

10. Data Retention

Rentlio retains personal data and Platform Records for as long as your account remains active or as reasonably necessary to:

  • Provide rental search, listing, and tenancy management services;
  • Maintain historical Platform Records for active or past rental relationships;
  • Resolve disputes, troubleshoot technical errors, and investigate policy violations;
  • Comply with applicable legal, accounting, or regulatory requirements.

11. Your Rights & Choices

Depending on your jurisdiction and applicable data protection laws, you may have certain rights regarding your personal information:

  • Access & Correction: You can view and update your profile, contact details, preferences, and property listings directly through your dashboard.
  • Location Permissions: You can grant or revoke browser location access at any time through your device or browser settings.
  • Account Deletion: You may request the deletion of your account and associated personal data by contacting our support team, subject to legitimate record retention requirements for active tenancy disputes or legal compliance.

12. Cookies & Browser Storage

Rentlio uses essential cookies and local storage tokens to manage authentication sessions, remember user preferences (such as dark/light mode and search filters), and ensure secure navigation. You can manage or disable cookies via your browser settings, though some platform features may not function properly without essential session cookies.

13. Children's Privacy

Rentlio is intended strictly for adult users (aged 18 and older) who possess the legal capacity to enter into binding real-estate and rental agreements. We do not knowingly collect or solicit personal information from minors under the age of 18.

14. Changes to This Privacy Policy

Rentlio may periodically update this Privacy Policy to reflect enhancements in our features, technological updates, or changes in legal requirements. When updates occur, the revised policy will be posted on this page with an updated "Last Updated" date. Continued use of Rentlio after changes are posted constitutes acceptance of the updated policy.
